I. Cabinet
a. President
1. Coordinates all activities of the organization.
2. Liaison to the University community.
3. Official representative of the organization.
4. Calls regular and special meetings.
5. Presides at meetings.
6. Prepares agenda for meetings with assistance, if warranted, from other officers.
7. Oversees all officers, committees, and activities; ensures all items are
completed in a timely fashion.
8. Oversees the web master in ensuring timely and appropriate postings.
9. Maintains the Tricats listserve.
b. Vice-President
1. Assumes duties of president, when necessary.
2. Assists president in coordinating activities.
3. Checks and signs monthly treasurer’s reports.
4. Checks and signs minutes before next meeting.
5. Race Coordinator Duties: researches local and non-local races for the fall and
spring semester. This includes investigating club race discounts and, if applicable,
housing discounts.
c. Secretary
1. Maintains accurate and current information of the members, up to date phone
list, and makes current copies for the officers available.
2. Assists other officers in coordinating organizational activities.
3. Organizes the beginning and end of the semester socials.
4. Keeps accurate minutes of each meeting and forwards copies to other officers.
Once minutes are ready to be copied they must be signed by another officer before the next meeting.
4. Keeps attendance records for meetings.
5. Ensures copies of previous meeting’s minutes are available to the members by
the next meeting.
6. Functions as a club historian with Public Relations officer. Keeps track of
photo album, dates of races, and pictures, as well as overseeing the update of the
website with current pictures.
7. In charge of honorary members voting, list, and certificate.
8. Functions as a club historian.
d. Treasurer
1. Liaison to the Department of Student Programs for the purpose of
organizational funding.
2. Attends annual funding meeting.
3. Maintains accurate and current account of all organizational funds.
4. Responsible for dispensing of funds in accordance with goals and programs
established by organization.
5. Provides monthly treasury statement that must be checked and consigned by
another officer.
6. Searches and oversees all fund-raisers, which includes overseeing volunteering
events.
7. Must have transactions co-signed by another officer.
8. Develop a budget for the upcoming year to be submitted to S.R.C.
9. All treasurer’s records and transactions shall be available to any member.
e. All Officers will:
1. Develop promotional activities for the club: newspaper articles, flyers, booths,
guest speakers, race results, etc. which will be forwarded to secretary for history.
2. Actively recruit new members.
3. Research new sponsorship opportunities.
4. In charge of notifying members of spontaneous meetings or events.
5. Attend monthly officer meetings (1st Monday)
II. Meetings.
Meetings will be open to all organization active and honorary members, staff, faculty, and Department of Student Programs representatives. A notice of at least one week will be given prior to all meetings. The meetings are to be organized and controlled by the officers and active members.
